OA (Office Automation) system is also referred to as office automation, its coreidea is: by adopting the computer network technology to optimize the workflow, toenable the office staff based on the LAN to share information more quickly and easily,to promote the efficiency in teamwork, to change the low efficiency and thecomplicated traditional manual office work, to boost a faster and more comprehensivecollecting and processing of information, and ultimately to provide a more scientificbasis for the office management and leadership decision. In combination with theadvanced computer network technology, the office software makes it possible togradually shift from the traditional manual office business activities to a variety ofhardware and software in addition to the computer-based information system and toassist the completion, so as to achieve the purpose of efficient document managementand smooth document circulation as well as the comprehensive improvement in thework efficiency and quality of the office staff.Starting with the OA document management and document circulation system incolleges and universities, this study analyzes the technology implementations in itsworkflow, document management, schedule management and several other major parts,meanwhile proposes a detailed design and implementation system in combination withworkflow engine foundation and systems. The main contents in this study are asfollows:1. The current situation of the office management and the existing problems incolleges and universities and the problems are analyzed. By combining the OAdocument management and the basic document circulation theories, this study proposesthe demand for raising the work efficiency in the communications between users,day-to-day management, document management, document circulation to achieve thegoal of a paperless office. In accordance with these requirements, based on theuniversity management characteristics and office procedures, the OA documentmanagement and workflow management are highlighted in its the design andimplementation so as to find practical solutions to some office problems in colleges anduniversities.2. An in-depth study of document management concepts is made, according to the demand in the actual office management in colleges and universities, documents invarious departments are kept and inquired in different sectors. The common types aresorted out to realize document classification management. All the documents in thissystem are classified into three categories for unified management, i.e. processdocuments, organization documents and personal documents, and in combination withthe related concepts of knowledge management, document access permission can be setto achieve the related functional requirements.3. The internal mechanism of the workflow engine system is studied, focusing onthe workflow theory, moreover, a further analysis of the workflow management systemand workflow modeling, platform development by using NET Workflow Foundation ismade, at last, an in-depth study is also made concerning the state workflow inWorkflow Foundation, process workflow and sequential workflow, combined with thesystem requirements for the realization of the related functions.The OA document management and document circulation system includes thefollowing modules such as document circulation functional module, documentmanagement functional module, user management functional module as well asschedule management functional module, to have the information flow accelerated,office hours significantly shortened, and the communications at work unified betweenindividuals with individuals, individuals with departments, and departments withdepartments. Relevant documents and data available can be passed directly to those whoneed them instead of any printing or manual distribution, which has saved many steps inthe work process and greatly improved its efficiency.
