Design And Implementation Of A Comprehensive Digital Archives Management System

With the continuous progress of science and technology, the requirements on archivesservice are also getting higher and higher. Traditional archive management is characterizedby low efficiency and poor accuracy, so it cannot meet the needs of the daily work already.At present, some departments in China have managed the archives by scientific andregular software systems. For Environmental Management College of China(EMCC),relying on the campus network advantage and constructing digital archive, is the routeEMCC archives management work must take. Strengthening the construction of universityarchives management network from the electronic filing, the construction of digitizedarchives and archival utilization etc, can realize the archives management work’sscientization, standardization, informationization, and digitalization, improve workefficiency and quality. But currently the majority of archives management system is notuniversal, only can suit the actual situation of a certain college or university, so the authordeveloped the electronic archives management system which is more suitable for EMCC.Firstly, investigated the actual situation of EMCC archives management in recentyears, carried out a feasibility analysis and demand analysis, defined the applicable users,the basic function and overall structure. The main functions include: input, review, delete,query, statistics and print.Secondly, detailed designed the system development. The main modules include: userlogin module, the basic data module, file management module, file statistics module, fileprint module, network file module, system maintenance module. The system has beenapplied in EMCC and can meet the need of daily archive management work.Finally, tested the system, and gave the corresponding test cases.
