As the biggest international organization in the world of today, the United Nations(hereinafter referred to as the UN) has deposited document resources which contain broadfields of subjects, authoritative contents and complete carriers. And these document resourcesare an important channel for people to know about the UN and its affiliated institutions.Besides, they are also significant references for experts and scholars who are devoted to thestudy of diplomacy, foreign affairs and international organizations. What’s more, they are thebasis of vital importance for the governmental policy setting and international affairs’development. As the distinctive collection resources in depositary libraries, documents thathave been deposited by the UN are efficiently well-organized. Meanwhile, they are accessibleto the mass of users conveniently. And this is not only the requirement for all depositarylibraries, but the essential component of libraries’ characteristic collection building andresources’ co-construction and sharing as well as.This study is based on the understanding of features of depositary documents in the UNand theoretical researches about these documents’ management in recent years. Furthermore,it is combined with the advanced theory and technology of document resources’ organizationand management at the present time. So this study is a systematic one in which the receptionand conservation, organization and suggestion, management and application of the depositorydocuments in the UN—a group of special resources are involved.The main principle of the UN depository documents’ effective management is graspingthe distinctiveness and enhancing the compatibility. It is the first step of the effectivemanagement of the kept documents in the UN to know how to control the UN documents’particularities and common features in order to guarantee that the collection of documents inthe UN is of completeness and richness which covers extensive fields. Organizing documentswell in depositary libraries is a vital task for managing them. It includes tasks of preservingthe peculiar numbers of depository documents in the UN, similarities and differences of the United Nations thesaurus and The Thesaurus of Chinese Library Classification, knowingclearly and definitely the categorization approaches and organization principles, and makingsure that the staff who participate in the preservation of documents are equipped with basicquality to make the depositary and setting method more reasonable and set out specializedborrowing system that is easy to operate and make use of. And at the same time, depositorylibraries cooperate with each other. They co-construct the typical collection which is based ondepositary documents in the UN and share it together. And then they explore the principle, thefunction, the system and the purpose of depositary libraries’ federation building. Eventually,the UN depositary documents can be managed by regulating the system, improving the self—management of depositary libraries, and uniting these libraries effectively so that users haveaccess to more abundant, more prompt and more professional document resources.
