As the times progress, with the rapid development in the field of computer technologyand methods, computer applications have been widely used in various sectors of thecommunity, and result in making computer more important in the realization of officeautomation management system for enterprises.Nowadays, the concept and awareness of office automation have been widely acceptedby various types of office staff, office automation system has been infiltrated into manycorners of social life. Successful use of office automation system has changed not only thetraditional office model, but also people’s ideas.Traditional office methods have failed to resolve the problems of communication,control, cooperation&coordination, etc. during the process of information management.Faced with this problem, a modern office automation system must be build, which cancomplete the collection, collation, analysis and delivery of information, to enableinformation to be efficient, large-scale, low-cost shares, and provide users with timely andaccurate scientific decision-making.After the investigation and analysis of user needs, researchers and developers candetermine the ultimately achievement goals of the system. Although the SMEs businessesare relatively small, but from a functional perspective they also need for the fullfunctionality of the system. Specific functions are divided into transmit/receive filemanagement, post management, conference management, human resource management,asset management, document management, and so on. Example: browse, add, update,delete, file uploads, file downloads, and more. According to their needs, users can operateon the corresponding function modules. On the other hand, the system providesmanagement function modules in corporate official business. By using advanced computertechnology to deal with corporate official business, not only the information within theenterprise can be shared via network, but also internal office staff can exchange and shareinformation more convenient and efficient, and result in improving both the groups workability and the individual office efficiency.System to achieve the objectives:(1) User-friendly interface, simple operation, easy to learn and use. (2) Use the Internet to facilitate the transmission of information, out of time and spaceconstraints.(3) The establishment of information interaction platform, more convenient and rapidrelease information over the network.In this system includes a login module, send and receive text management module,conference management module, announcements management module, human resourcemanagement module, asset management module, asset management module is divided intooffice supplies management module and vehicle management module. Users are dividedinto three types of permissions: the system administrator, general manager and staff. Rightafter the user logins correctly, the system will show the function modules he can operateaccording to his/her permission, but asset management module and human resourcemanagement module are is restricted to users with the system administrator permission tooperate on it.The basic module of the system functions:(1) Login module: Through login module, system obtains user name and passwordentered by the user, and verifies if he/she is a legitimate user, after successful login userwill enter the default.jsp page.(2) Send and receive text management module: Establish, browse, delete issueddocuments, view the details, etc.(3) Conference management module: View, add, delete conferences records, viewconference details.(4) Announcements management module: Browse, add, modify, delete announcements,and view the announcements details.(5) Human resource management module: Browse employee information, add newemployees, change employee information, delete employee information, view the employeedetails, excellent staff.(6) Document management: browse files, browse the file details, delete files, uploadfiles, and download files.(7) Asset management module: View, modify, delete office supplies information.During the development of the system the integrated development environment isusing Eclipse3.3+MyEclipse5.1plug-in, Web container is using Tomcat6.0, database isusing Microsoft’s SQL server2000.The system basically meets the functional requirements in the analysis of user needs. Through the project design, I fully understand the importance of the link betweentheory and practice and how to learn new knowledge in practice. Meanwhile I haveunderstood and grasped the knowledge about office automation system, Tomacat, SQLServer, open source Web frames, and relevant knowledge. Because time hasty, this designand application is only part of the work, the remains will be further studied, understood andused in the future.
