Design And Implementation Of Office Automation System For Colleges And Universities

The 3rd technological revolution, marked by the invention and widely usage of digital computer, has greatly changed the social production and living. In the last few decades, computers are applied in the area of scientific calculation, process control and detection, computer aided design, information management, multimedia applications and other fields, which dramatically changes the social relationship between people and the way of communication. Labor productivity of the whole society is extremely improved due to the arrival of Informatization.At present stage, the application of computer technology in enterprises and institutions of is mainly embodied in the field of information management, which represents the personnel flow, financial flow, logistics and information flow of enterprises in the form of computer software forms. Office Automation, shorted for OA, is a new office pattern that combines the modern office concept and computer and network functions. It is an important application area of computer technologies and network technologies in new technological revolution and is the product of informatization, automation and Digitization of society labor. Office automation has changed the complex, lengthy, inefficient and isolated manual work way in the past, realizes fast and accurate business communication and information sharing, provide various services for enterprise leaders'scientific management and decision and staffs'efficient office, which reach the propose of the administrative efficiency and enterprise productivity enhancement. So the level of the OA of an enterprise is one of important factors to measure its modern management.According to the requirements and functions of office automation in the context of college and universities, this paper abstracts all of the business to two kinds of system workflow: Document Reception and Document Issue. The workflow is based on department, which means all document is in charged by a department. Document Issue workflow abstracts all work sponsored inside the collage. A work can be represents by a document draft by its responsible department, and then the document will be delivered to different executors in the forms of advice, announcement, and resolution and so on. The executors handle the work and give the feedback. Document Reception responds for the execution of task coming form high level units or other units. When the document comes, the corresponding staff in the college receives it and makes a login to the system. He fills the table in the system and delivery the document to the next executor, and the task will be handled according to the workflow and return the execution result.Due to the complexity of the system, the system framework designed in this paper is bottom-up divided to four layers: data layer, support layer, workflow layer and application layer to ease program management and online product maintenance. Layer encapsulates the module call relationships inside it and the modules in different layers communicate by calling interface provided by their adjourn layers. The workflow layer is the core of the framework, and the paper design the components such as workflow definition, workflow engine and management, workflow instance monitor, workflow log, workflow resource management, workflow session management, message and message engine and so on, all these components make a foundation for workflow implementation.In system realization, According to the characteristics and functions of college office automation system, this paper adopts Struts + Spring + Hibernate as a basic framework and constructs the application in the forms of B/S structure. To make the user interface friendly, the system uses AJAX technologies to implement the functions such as operation help, data dictionary.The creative of the paper is that we design a framework that suits for all Office Automation System, and implements workflow layer components such as workflow engine, which make a foundation for OA software reusable development.The system implemented in this paper has been deployed in real application. After using a lot of months, the system has been verified to satisfy the requirements of OA and achieve the intended purpose.
