| Along with the enhancement of "Going Out" strategy and "Bridgehead" strategy, academic activities between YNU and foreign institutions keeps increasing in recent year. Number of groups and staff sent abroad for friendly visits, science& technology exchanges, cultural and educational activities, training, short-term workshop and international conferences is also growing year by year. The original management process, in which staff manually filled out plans & forms and the worker of Office of International Cooperation & Exchange went to various departments to get signatures and approvals from relevant leadership, is no longer suitable to meet the needs of the development of times and practical work. It is strongly and urgently needed to design an informational system to manage going abroad on official business affairs.This paper uses management methods and concepts of software engineering to analyze the existing problems and optimize the original business processes. Based on the practical demands and existing problems, the analysis uses UML method to analyze the management system, by providing case diagrams, abbreviated class diagram and entity class relation diagram to clarify systems functions. Afterwards the paper designs the database table structure, according to the main field and the relationship between different database tables.The management system could not only make it easier to manage the application and approval process of going abroad plans, but also make it possible for staff to apply group visits of going abroad on official business online, so that staff can effectively save much processing time of the task of going abroad. The system could also provides a variety of conditions for data querying and statistics, thereby enhancing the management efficiency on Going Abroad on Official Business of YNU. The research results can also be extended to other universities, government agencies and enterprises in Yunnan Province. |
