Li Property Management Co., Ltd has realized the informatization at the managementlevel. Information systems have been built for the finance, human resource and customermanagement departments. However, the daily operations have not been systemized andstandardized; the assets are still managed via Excel and the work orders are operated on paperdocuments. The asset management is still decentralized in different departments, without asingle system for centralized management, comprehensive analysis and prediction. Themanagement’s understanding of the condition of assets and the staff activities are notcomprehensive and clear, which made the management on property account and entityinconsistent, human resource unreasonably be allocated, the aging and breakdown of theequipment unable to be detected and dealt with in a timely manner, the work schedule unableto be monitored and reported in time. With the development of society, the area of theresidential compounds is expanding rapidly and the number and the technological contents ofthe assets are increasing geometrically, whereas the number and the quality of the propertymanagers are still lagging behind. How to manage the assets and continuously optimize theproperty management level on the condition of limited human resources have been thechallenges for the operations managers. So based on years of experience in equipmentmanagement in energy industry, the system improves and optimizes the ways of assetmanagement for property industries so as to meet the management requirements in modernresidential compounds. The best way is to apply for property management system to managethe property assets for the compounds.To solve the above problems, LI International Investment Group developed the PropertyManagement System to realize the e-management on the properties so as to make themanagement more standardized and efficient. The system is a realization of the property assetmanagement for the compounds, which covers equipment management, material procurement,inventory management, repair management, testing management, work order managementand patrol management. The system can realize the centralized management on the assetinformation of the residential compounds via stations. The information can be shared via privilege control so as to avoid the information islands. Based on the equipment inspectioncycle, the system can generate the work task automatically on a regular basis and assign thestaff to inspect the equipment so as to ensure the equipment stability and smooth operationand improve the operation efficiency and avoid the accidents. Equipment inspection historyand patrol history can be viewed in the equipment information on the equipment sheet. Worktasks can be pushed automatically to the mobile device and the staff can deal with the tasks onsite on the mobile devices. Besides, the staff can fill in the work report according to theon-site conditions. Moreover, on-site recording and photographing can be uploaded to theserver so that the managers can know about the real-time information. When the work tasksare assigned by the system, the work status of the staff can be checked so as to avoidunreasonable work assignments. The work hour can also be calculated monthly, quarterly andyearly in the system for evaluating the performance. The process of purchasing, receiving andstoring has been formed for material purchasing. The stored materials need to be printed outin paper receipts; Use application and giving out have been in the delivery process. All thedelivered materials also need to be printed out in paper receipts. Monthly inbound andoutbound financial reports need to be checked for financial statistics. Warehouseadministrators can search for the storage information. When the storage is insufficient, thesystem will generate automatically the application and issuing purchasing application processaccording to past purchasing information. Patrol management will generate patrol tasksautomatically according to the predefined patrol route system and push the tasks to the mobiledevices. Property managers can scan the property bar code on the mobile device to check thefacilities and environment, which can effectively avoid the missing patrolling and on-siteinspection.The system is a redevelopment of IBM Maximo. Maximo is mainly applicable for theasset-intensive enterprises, which focuses on the full-lifecycle management on the production,installation, servicing, maintenance and discarding of the equipment. To reduce the operationcost and improve the assets income and improve the maintenance efficiency, informatizationmethods are applied to transform the traditional paper operation to operation in systems oncomputers. Based on B/S, data interaction with the server can be realized only by installing abrowser, which indicates the system is convenient to use, simple to operate and more efficient.The system interface is designed elegantly, simply, practically and easy-to-use. Combinedwith the business modes and requirements from a certain number of representative propertymanagement enterprises, the system is designed to realize the intelligent management on theestates and residents. Scheduled maintenance and regular patrols can be realized to ensure the equipment safety, stabilize the economic operation and improve the efficiency of propertymanagement.
