Workflow Based Document Management System

With the increasing enlargement of modern enterprise scale and business, the amount of official information grows by series and the operation and management of enterprises become gradually complicated as well. Thus, the traditional office mode will inevitably be replaced by the automated management mode which relies on modern information technology. Especially for those large-scale enterprises that are operated on the trans-regional and trans-departmental level, it is disastrous for them to manage documents in the traditional way. The realization of managing documents by means of modem information technology can not only expedite the rate of delivering information but also attach great importance to improving enterprise management in a standard and efficient way. Combining personal work experience, this paper will do in-depth research on the management of documents in enterprise and public institutions, and propose some solutions to develop a document manage system based on the workflow. In this paper works are done in the following aspects:1、Through a research and analysis of the current document management system and based on people’s actual needs, elaborations are done in details from aspects of functional requirements and non-functional requirements. Sending document management, Receiving document management, my document, filing documents, process management, and user management, the above six modules of functional requirements are comprehensively elaborated by way of workflow-based modular design ideas2、Framework design of basic workflow and enterprises and institutions document management system are done in aspects of network architecture, technical architecture, system architecture, system functionality, server security policy and system error processing. Network architecture applies the three-tire mode:core layer, convergence layer and access layer to ensure reliability and stability of the system; technical architecture applies MVC three-tire mode:model-View-controller; system structure applies B/S three-tier mode:data layer, the server layer and the client layer.3、Applying JSP/JAVA technology and tomcat to complete the realization of the whole system; introduction of test environment and formulation of test program are done at the aspect of test; detailed test data are given and testing process are listed and the test results are analyzed.The teamwork-oriented and workflow-based document management system solves the issue of automated office process by means of information technology, streamlines the enterprise running mode,, improves the efficiency of production and realizes the optimization and reorganization of enterprise organizational structure and workflow.
