Open Fixed-layout Document Format And Its Application In Document Management

With the accelerating process of social informatization,the number of electronic files is increasing day by day,coupled with its own problems such as easy to change,make the long-term preservation of electronic files face huge challenges.There is no doubt that choosing an appropriate storage format is one of the most effective methods for long-term preservation and readability of electronic files.Streaming document formats whose main purpose is editing and modification are prone to garbled characters and disordered layout during migration,which is very unfavorable for the long-term preservation of electronic files.Therefore,the layout document format that can guarantee the document layout effect has become one of the ideal formats for long-term storage of electronic files.In response to the confusion of domestic private format document format standards and the uncontrollable security of foreign format document format standards,my country has formulated the "Electronic File Storage and Exchange Format Format Document"(OFD)and is developing an "OFD Archive Application" specifically for the archives field."Guide"(OFD/A),in order to stipulate the national layout document format standard.In order to give full play to the potential value of OFD to ensure the long-term readability of electronic archives,it is imperative to increase research on OFD in the field of archives.This article is mainly divided into four parts.The first part introduces the background of OFD formulation and its formulation basis and process,and discusses it from three perspectives: achieving independent innovation and mastering development initiative;helping national information security and promoting information resource sharing;integrating format industrial ecology and consolidating the synergy of the electronic file industry.The importance of OFD format;The second part analyzes the value of OFD format in archives management,from the perspective of maintaining the "four characteristics" of electronic files,ensuring the long-term preservation of electronic files,and promoting the development and utilization of electronic files.To discuss its value;the third part summarizes the current OFD promotion progress,and the application cases of OFD in the document field;the fourth part reflects on the current application and promotion status of OFD in the archives field.
