Research On Technology Document Management System For Gear Manufacturing Enterprises

For gear manufacturing enterprise, good technology management is closely related to its sustaining and steady progress. As technology documents are the main carrier for gear manufacturing enterprise to record important technology data, its management level directly influences the production efficiency. In this paper, though the study object-an gear manufacturing enterprise in Zhejiang has already owned the popular product data management system, it still fails to manage the technology documents fully and effectively due to the particularity of products and process of design and development and the system limitation. So in order to improve the competitiveness of gear manufacturing enterprise, it’s necessary to build an efficient technology document management system and achieve integrated management for related technology documents in aspects of productive process and resources on the premise of regarding information technology as basis and document management technology as the core.Firstly, this paper summarizes the study on document management system, pointing out shortcomings of document management system in current market such as high cost, limited management and a lack of design process. At the same time, based on further explorations of the definition of a document, the theory of document life cycle, the classification of enterprise documents and the content and countermeasures of the enterprise document management, it investigated the prototype enterprise, clarified basic situations of the prototype enterprise and the technology R&D department, analyzed the source and application of technology documents of organization structure, daily functions and operation procession in technology R&D department and collected all kinds of technology document information and built the model of gear technology document in gear technology R&D department. It also specifies the technology document management process, analyzes the relationship between technology documents and enterprise functions and gives both static and dynamic document management methods in regards to different requirements of document management and built the model of gear technology document management. Based on above management model, the technology document management system for gear manufacturing enterprises is finally achieved through the analysis of system requirements and designs of system structure, function structure, data structure, the input and output and security maintenance, as well as through application of computer technology, database technology, workflow technology and access control technology.Technology document management model is tailored based on the operation characteristic and use requirements of prototype gear enterprise, conforming to the requirements of the enterprise technology document management and use. The technology document management system is the electronic expression and practical means of the technology document management model. Seen from the test in this stage, good operation of technology document management can fundamentally change the management and use style of technology documents in gear technology R&D department and can also significantly improve the management and use efficiency of technology documents so that to lay a solid foundation for stable development in the future.
