| Office Automation (OA) system is a type of information system that integrates computertechnology and communication technology with information technology and software science, andapplied to handle a variety of office activities. It achieves automation of office activities in arational way, maximizing quality and efficiency, as well as improving working environment.This thesis begins with the development of OA system and its main structure, taking NingboHuman Resources and Social Security Bureau as research subject, decomposing to modules,selecting particular key modules for analysis,optimization and development. The major findings ofthe thesis are as follows:Three key modules, named as management of incoming files, management of publication andmanagement of file storage, have been analyzed and optimized. The function of distribution hasbeen added to the management of incoming files, which accelerates the procedure. The function ofbrowser has been added to the last link of the management of publication, which simplifiesdistribution work. The function of classification has been added to the management file storage,which makes it convenient to look for a given file.The brand new modules, performance management, and my briefcase have been developed.The performance management is introduced to cultivate staff’s self-discipline, motivation,creativity and execution. The corresponding module is developed to ensure its operation. Themodule requires staff to fill out Daily Work Log and Scheme for the Month. High-level personnelevaluate each one’s performance, based on Scheme for the Month. My briefcase is developed tomake browsing files more convenient. It is possible to store and label documents and browse themin the module.Interfaces that connect with file storage software and director’s mailbox of the Bureau havealso been developed. The Bureau uses the chaoyue2000network File management systemdeveloped by Zhuhai Titan Software Company. Another module whose functions enable theoutput of documents with proper format has been added to management of file storage, whichachieves the seamless connection between OA system and file storage software. The online consultation on the bureau’s website deals with questions raised by the public. Efficiency is greatlypromoted through the access to the temporary Oracle database.Through the in-depth study of the Bureau’s OA system, optimization and application ofparticular modules have been accomplished. The author is better acquainted with the structure andmechanism of the System, which brings in substantial assistance to the future work. |
