Development And Application Of The Branch Office Automation System Based On B/S Structure

With the development of computer, communication technology and network, humansociety has entered the information age. The way to exchange information, share resourcesand change the original individual stand-alone mode to a modern cooperative work mode hasbecome an issue that every enterprise should face and solve, and the presentation andapplication of Office Automation (Office Automation, referred to as OA) has provided aneffective solution.The Shenyang Hunnan Branch is newly built by Shenyang Unicom Corporation toadapt to municipal government’s south planning. The leader of branch is in charge of themanagement, and four major departments are set under this leader----branch office,marketing department, operation and maintenance department and business center. In theelectronic management, before the system was developed, the Hunnan Branch followedShenyang Unicom’s OA ACIC system and integrated support system to complete theapproval of the tariff, the document flow and related businesses. But due to the relativelyweak basis of information, a complicated and inefficient manual way is still used in otherwork, many problems emerge in the process of daily work. For example, the task allocationis not clear, the objects of tasks allocation is not clear, the leaders of Hunnan Branch anddepartments cannot fully get the hang of their subordinates’ work, the management ofdocument records and professional reports a bit chaotic, and the staff attendancemanagement is missing. The economic potentiality is not abundant, the computer softwareand hardware configuration is poor, and the quality of the staff is also uneven. Theestablishment of a system which is in accord with the feature of the Hunnan Branch andOffice Automation is particularly important.In the whole designing process of the Hunnan Branch internal office system, wefollowed the method of software engineering as far as possible, and with a detailed study ofthe needs of the small branch office management, the system is to help the Hunnan Branchto share information and resources, enhance the employees’ ability of working coordinately,and strengthen the leadership’s monitoring and management and speed up electronic andstandardization of management.First, with B/S (Browser/Server) structure----browser/server architecture, users donot need to install client software to control the system, they merely need the local areanetwork to connect to the server. Second, the system is based on windows2000server-basedplatform, using IIS (Internet Information Server) web services, ASP developmentenvironment, VBScript scripting language and MSACCESS database technology, it provides a highly tailored basic Hunnan Branch office management system interface which iscompletely browser-based and easy to operate.The system sets five categories of user groups: branch leadership, department manager,general staff, office staff and system administrators. And seven functional modules: taskmanagement module, records management modules, professional report managementmodule, attendance management module, user management, permissions managementmodule and additional functional module. These modules achieve the following functionrespectively: the task allocation and management, meeting minutes, cars and other recordsmanagement, marketing, maintenance, business professional data entry and reportmanagement, attendance registration and query, users’ departments and positions setpermissions, user management, password changes and other additional functions.The system has been put into use now. With this system, the enterprise and itsdepartments can deal with their day-to-day work in an electronic way, normalized andstandardized. Also, this system can help manage its specialized archives, enabling itconvenient to query and make statistics on line. What’s more important, this systempromotes the employees to work collaboratively, which can hence enhance employees’affiliation to and cohesiveness of an enterprise. This system has gained recognition from theemployees and leaders of the enterprise.This project is only an exploratory attempt for B/S based OAS to be applied anddeveloped in small areas, and offers basic functions. Improvements will be made infunctions like work log query, approval of every kind of leave from work.
