College Office Automation System Design And Construction

Establishing a secure and efficient college Office Automation System not only can improve greatly the teaching, research, management and service environment of a university, but also is an effective way to raise its management level under the condition of technical education, which largely reflects the level of a college's management modernization. In other words, the establishment of OAS is indispensible to social development and the only way to accelerate the development of education, raise the level of college management and service and increase college operating efficiency.After a general introduction to the background, purpose, literature and outline of this thesis, the definition of OAS is presented: With modern science branches and scientific technologies as its backbone (such as computer science, information science, Geo-spatial science, management science, behavioral science and network communication technology, etc.), with the improvement of comprehensive management and decision making as its aim, Office Automation System is a comprehensive human-machine information system. In this system, the guiding ideology is its soul, regulatory standards its basis, information sources its premise, hardware and software its tools, system management and maintenance its guarantee and the application of the system its purpose. Then an overview is given with reference to the contemporary development of OAS both at home and abroad. Since the focus of this thesis is the design and construction of OAS that is applied to college administration and services, 2.3 in Chapter 1 has been devoted to the change of college office pattern: from traditional office pattern, in which leaders function as the core, to the network office pattern.Although in practice many colleges have made much headway in the process of construction of college OAS, there still exist many problems. Based on a survey of the OAS in a number of universities, including Shandong University, Anhui Normal University, Shaanxi Normal University, Henan Normal University, Shenyang Normal University and Beijing Normal University, this thesis analyzes the present situation of college OAS from five perspectives: how much weight the administration authorities has placed on the construction of such a system, the situation of hardware construction, the selection of OAS, the situation of system management and maintenance and the operating situation of the established system. Through the analysis, it is found that most OAS in college were set up with the support of college administration authorities; even these colleges whose OAS haven't been established are constructing or planning to construct an OAS. After the analysis, a series of problems with the present college OAS and corresponding solutions are put forward. These problems consist of a lack of awareness of the significance of OAS, the imperfectness of relevant rules, a shortage of investment, the improper selection of software and service provider, the potential safety hazard and inadequate popularization of an established system, etc.Then in Chapter 4 the writer, by taking the design and construction of Shandong Normal University OAS as an example, illustrates how to construct a college Office Automation System. Firstly, the designer needs to be clear about the designing purpose, ideology and principles of the to-be-established system. Secondly, he needs to conduct a survey and analysis of the present situation in a certain college. As for Shandong Normal University, its present situation has been analyzed from six perspectives and some problems have been found out: a lack of a general plan for the construction of an OAS, ineffectiveness of information sharing and application integration, a lack of a uniform interface to data sources, a lack of uniform standards for construction, a shortage of skilled professionals. On the basis of analyzing relevant conditions, the writer has outlined the basic structure of the OAS which fits particularly Shandong Normal University. This part has been mainly divided into two parts: the constituents of this system and the network structure (by comparing C/S structure and B/S structure). Lastly, the writer, according to the workflow and requirements of each sector, has designed a series of system function modules.Actually, corresponding safety measures are necessary to guarantee the smooth performance of a system. So at the end of Chapter Four, the writer has proposed several security measures to make sure the smooth and effective performance of the system.The design and construction of college OAS is a complex systematic project, which takes time. The construction of a college OAS must be based on a practical survey and meticulous analysis. Besides, it needs perfecting all the time.This thesis, which isn't limited to the summary and illustration of basic theories and relevant technologies, by taking a specific example, has demonstrated how to design a college OAS clearly and in detail, aiming at provide a reference for those colleges which plans to construct or perfect their own OAS. As to the Shandong Normal University OAS, it's not perfect and needs further improvement in the future operation. Therefore there must be shortcoming in the overall design and details, which will be overcome in the future study.
