Design And Realization Of OA's Online Sub-system In Vocational Colleges

In recent years, along with the unceasing development of information technology, office automation has received increasing attention from all the walks of life, including colleges and universities. Presently, the higher education in our country is undergoing a golden time of fast development, with the scale of institutions of higher learning expanding constantly. While on the other hand, the management burden and difficulty of teaching, scientific research and administrative affairs are growing correspondingly. Therefore, to set up an office automation system, would be of great significance for each college and university, with regard to improving their efficiency, and realizing managing modernization and policy-making's scitification.Based on an analysis of the current office automation building in colleges and universities, this paper introduces the design and realization of online examing and approving sub-systems, in terns of the currency of vocational college. In this paper, Lotus Notes has been chosen as a basis of application and development, combined with JAVA and relation database technology. It presents a detailed demanding analysis and elaborate design, according to the actual realization process of software project, makes a simple design and division for the functional module of the system and database's structure, and realizes the encoding of part of its functions as well as testing of this system.It is a comprehensive office automation system, and here we can divide the functional project group as follows, according to the actual needs: school document, bulletin and notice, office guider, e-mail, forum for teaching staffs, online communication, schedule, work logs, knowledge management, online examination, information resource, online publication, online examination and approval, online reports for repair, the voting system, group decision, office working of the leadership as well as headmaster's mailbox. Among the above eighteen systems, all but information resource have applied to the administrative system of Notes process. Specifically speaking, they comprise:(1) The system is based on LotusDomino / Notes, and applies both B / S and C / S, in accordance with JAVA and relation database technology.(2) It develops office engine independently, which can produce a fexible, serial and parallel office procedure; it uses a series of automatic processing calculation, to achieve the intelligentization of office information.(3) It has a shared identity, makes use of TCP / IP protocols and JAVA Bean developmental technology, and realizes JAVA server System and Domin. It has a share identity server, with a seamless connection of to two types of system; with a wide range of comprehensive security technologies, a multi-faceted, all-round information security has been ensured.(4) Its knowledge management appreciates the value of various types of information, which can turn into high value-added knowledge asset; in addition, the intelligentization of collective experts together with intelligence lends supports to leadership's decision-making.Introduction of multi-media technology into the online examination and approval system, help the system to process sound, graphics, video, animation, text, and other information, etc., which gives us more colorful, vivid information.For the time being, the development and implementation of online examing and approving sub-system in vocational colleges has been successfully completed. The efficiency has been significantly improved with application of this system. Previously a paper used to be sent to relative departments respectively, which was time-consuming and laborious; nevertheless, now just after a click of the mouse, one paper would be sent and received. The application of this system has also greatly accelerated the searching speed of document; that's to say, the former documents will be reached through the seaching function of the system, and a great time-saving. In terms of its operation, this office automation system, as a complex organization with a great number of staffs in college and university, it has satisfied vocational colleges' needs very well, and received clients' sound assessment, whether from its stable and superior superior features or its performance. Therefore, the successful development of online examing and approving sub-system in higher vocational colleges keeps pace withwith the development requirements of college and university.
