Design And Application Of Office Automation System Based On Lotus

In the era of knowledge economy, information and knowledge dominate enterprises resources and directly result in the creativity, productivity and economic efficiency of the enterprises. The office automation system having knowledge as the nucleus is becoming their prime choice. Lotus Domino/Notes can handle non-structured data with high efficiency, whose groupware and workflow technologies particularly meet the needs in developing office automation system.This thesis mainly explores the application of Lotus Domino/Note groupware and intranet technology in office administration information system. Through reviewing its developing process, the office automation system is defined and its present situation and future tendency is described .By the comparative analysis of the key developing modes ,system structure, developing platform, the thesis points out the strength and weakness respectively. The powerful administration ability of non-structured data can exert workflow and groupware technology easily,which is the strength of Lotus developing platform. Based on the analysis of the requirement, function, structure of the office automation system for Weihai Education Bureau,the system design program for workflow, structure and systematic modes is drawn up on the basis of Lotus groupware. It is proposed that the very systematic structure adopt the simple and easy Client/Server System and preliminarily have the primary function of personal office ,documents work, conference administration, file management and working program .Based on the process of documents work, the computer auxiliary administration process is formulated ,the documents circulating is electroniczed, the documents circulating speed is quickened ,the working efficiency is raised and the paperless office is liable. Combining the author's own contribution in the whole project, the thesis focuses on introducing the two modules of file-sending and retrieval systems and designs workflow, data base, forms and many key operating code .By incorporating serving-for-user and computer groupware technology, the two modules are quite fit for reconstruction and significant value.; By utilizing process monitors to formulate the process ,the operation is simplified a great deal comparatively. To keep the system working steadily is to keep the system safety. In addition to the safety of the hardware and the division of inner net and outer net, status identification device provided by Lotus system and permit authentification system should be installed to keep the operation safety. By using three @DB functions and three extended ones ,the outer data can be browsed. In the end the thesis summarizes the whole project, analyzes the deficiency and puts forward the remedial suggestions as well.The system has been operating soundly and effectively, which suggests a valuable attempt in developing larger-scale and more stable future office automation systems.
