Study On The Creation And The Management In Creation Stage Of Corporate Digital Records

Information has been recorded and transferred to support corporate management and business transaction, as a result of corporate informationalization and the penetration of information technology, corporate information has increased exponentially. As the by-product of business activities, digital records are among the most important information objects to record, transfer and keep these activities; therefore, digital records are of significance for the everyday business and sustainable development of corporate bodies. Under such circumstances, it's highly important to understand the nature of corporate digital records, have a comprehensive grasp of their functions, and eventually, manage them scientifically. As a result, exploration of the creation and management of corporate digital records are highlighted as the area for further research.Focusing on corporate digital records, this dissertation research defines it as a document made or received in the course of fulfilling legal responsibility and all kinds of activities being the instrument and by-product of such responsibility and activities and setting aside for action and reference; it is represented in binary codes. The creation of corporate digital record is a process consisting of its genesis, the integration of its content, descriptive information and the store of these information. The purpose of corporate digital records creation is not limited to e-discovery, but to satisfy internal control, the needs of business activity conduct, the needs of data input control, and the needs of information governance.On the basis of literature review, fieldwork and interview, this dissertation has employed system analysis methodology in conjunction with the characteristics of corporate information system and business activity. To begin with, this research has analyzed systematically the environment of corporate digital records creation and the interaction between the two; then, it proceed progressively from common law of records creation, characteristics of digital records creation, furthermore, the characteristics of corporate digital records to deduce the law of corporate digital records creation. Moreover, this dissertation has regulated the management purpose in corporate digital records creation, arguing to transform the decentralized and back-end management pattern to genesis stage management pattern so as to protcct the nature and security of records. What is more, this dissertation has explored the differences between front-end management pattern and genesis stage management pattern,. arguing the latter as the right pattern. In the end, this dissertation has systematically depicted the strategy for genesis stage management pattern consisting the following constituents, the framework of corporate digital records creation management, programming of corporate digital records requirements, construction of corporate digital records standards, and design of corporate digital records automatic control system. Among these four constituents, the components of corporate digital records automatics control system have been highlighted consisting of classification subsystem, identification subsystem, audit trail subsystem, and capture system. Besides, this research has argued to harness business rules to realize the automatic management and control of digital records. This research will not only pave the ground for the whole process management of digital records, but also contribute to solve information governance problems.
