The traditional management can’t adapt to the requirements of records management with increasing the number of files. Electronic archives management system provides a fast and efficient way for file management, but it can’t solve all the problems of archives management especially archival entity management. Physical archives management still has some problems, such as complex management and low efficiency of inventory. RFID technology provides a new solution for file management. But, there are problems in RFID file management. First, many RFID file management solution is generally for the Archives Bureau and other large open shelves management, while small and medium enterprises archives management and classified archives management mostly take the way of file cabinet. It does not apply to enterprises archives management and classified archives management. Second, inventory is at half manual work, storage and change location are difficult. According to the problems, this thesis designs archives management mode of the file cabinet, realizes data acquisition using high frequency RFID technology. Besides improving the efficiency of inventory, it provides a quick way to storage and location change.The main contributions of this work include three aspects. First, it provides a complete solution of archives management using HF technology. Based on many types of HF RFID reader and HF tags, this work achieves data acquisition of archives, persons and borrows, realizes the fast storage and fast adjustment for file storage. Second, the file cabinet model that the RFID intelligent file management system has been designed and completed. Outside the open shelves management, this work gives an RFID intelligent management system of the file cabinet by adding RFID equipment in the file cabinet. It meets demand of small and medium enterprises archives management and classified archives management. Third, the system can improve the counting efficiency by monitoring the storage of files dynamically. Monitoring the storage of files dynamically is implemented by embedding antenna module in the file cabinet. The file storage status can be checked at any time and file displacement problems can be discovered timely. Inventory is also easier and the efficiency of inventory has been improved. It provides a fast way to lay up and quickly adjust the storage through the entire cabinet management and a whole box of management methods. Lastly, file bags and file boxes can be managed at the same time. Considering the application pattern of file bag and file box portfolio management,this work designs data acquisition scheme to realize the combination monitoring of the two management, using different readers and antenna module respectively to collect data.The main innovative contributions of this thesis are as follows. It proposed a RFID intelligent archives management solution of file cabinet model. The high frequency RFID reader and antennas are embedded in the cabinet, the RFID tags are pasted to file boxes or file bags. It realizes real-time management of archives by getting real-time status of file bag and file box. The efficiency of inventory is improved and a quick way to storage and location change is provided.Finally, this thesis has given the performance test, function test and special test of key scenes. After testing, the function and performance of RFID intelligent file management system has been proved to meet the application of archives management of small and medium scale enterprises.
