The Design And Implementation Of Meeting Management System For Hebei University Of Science And Technology

With the rapid development of computer information technology, networking has been widely applied in schools, businesses and other fields both of schools and businesses have conference management issues. In recent years, the department of Hebei University of Science and Technology usually needs to communicate and solve problems and make decision by conferences, the number of internal meetings is on the rise, at the same time, information of meetings is also gradually increasing. At present, the conference management of Hebei University of Science and Technology mostly depends on traditional conference form, and still stays in manual work status in the management process so that the efficiency is relatively low, and it’s very easy to make mistakes, and more conducive to conference data management. It is necessary to develop a conference management system for Hebei University of Science and Technology.The paper is divided into five parts:introduction, requirements analysis, summary design and detailed design, implementation and testing, summary and scope. With analysis of research background of conference management of Hebei University of Science and Technology, we pointed out the shortcomings showed on the conference management process in some similar systems inland. The system is based on B/S framework, the development language used in design and implementation process is JAVA, major design patterns use MVC, and technology architecture is struts2framework.The conference management system of Hebei University of Science and Technology’ user roles include applicants, conference room managers mobile devices managers and system administrators, the system designs and implements five modules: conference room query modules, schedule query module, conference booking module, remote monitoring module and system settings module. Conference room query modules implements five sub-functions:detailed situation query of conference room and conference, conference room booking, conference modification and conference cancel. Schedule query implements three sub-functions:conference listing, schedule listing and schedule query. Conference booking implements seven sub-functions: booking conference, inter-cutting information, querying spots information, applying for approval, sending notification, conference room management and conference theme management. Remote monitoring implements two sub-functions:online status and remote monitoring of conference room. System settings implements ten sub-functions: system logging, system parameters setting, uploading people listing, regional management, personnel level management, department management, personnel management, password changing, audit management and mobile device management.At present, the system has been successfully operated in Hebei University of Science and Technology. After running the system, applicants can easily keep abreast of relevant situation of conferences, and that can avoid the phenomenon of absence because of not receive timely notice, thus enhancing the value and efficiency of the conference.
