The Design And Application On Workflow Based System Of Official Document Management

Global informatization have emerged in the world. It is a general trend to develop office automation, office network and electronic government in China. However there are some problems in current official document management system, such as confusion about the concepts of official document process and official document management, overemphasize on the process of online transmission and approval, separating from mature application software, and difficulty in tracing the work process. This paper focuses on simplifying the method of workflow modeling; builds a convenient practical and reasonable workflow platform by using existing development technique; provides basic technology support for electronic government construction.At first, this paper analyses the status in quo, on the basis of an actual project requirement, designs and builds an official document pattern warehouse which composed by a series of workflow control, basic workflow pattern and twelve instances of official document operation flow. Official document operation flow warehouse provide basic integration template for official document management process definition, it not only decreases the design complexity but also improves the stability and reliability of official document system.Secondly, this paper design dedicated interpretation and execution components direct towards official document operation flow and pattern warehouse. The official document treatment process is always alienated form reality, in order to solve this problem, this paper adds trace mechanism in document flow, embeds some mature word process software such as Word, Excel and so on; at the same time regularize the authority of functionaries according their working habits.Finally, according to above achievement, this paper realizes an official document management system, proposes the an architecture based on workflow warehouse, puts forward the detail design of relative pattern warehouse and other key modules. The system has been tried out by a government office in Hunan province, it runs smoothly and normally, which approves that the system meet the project requirements.
