The Design Of Office Automation System Based On Workflow

Office Automation (OA),an important assistant tool to improve the efficiency of government office business and enterprises, deals with mass and complicated business flow and various intergrated environment of business application, having the characteristics of many employees, many positions, many trivial processes and variable workflows. It is difficult to construct a standardized and rational OA system quickly.The development of workflow engine technique makes the control and change of the operation flow easy and convenient and greatly improves its efficiency with the application of workflow software. IBM Lotus Domino/Notes provided an excellent solution for enterprise OA. Since Domino/ Notes, which is an advanced document database and E-mail system with standard Web services and application development environment for OA, is based on workflow, it is an ideal platform to realize enterprise information system integration and knowledge management. It has an important realistic value and very vast application foreground to use Notes to develop OA.The paper first summarizes the actuality and development of OA, then introduces the supported network technique related to OA and workflow technique. After that, it discusses a mathematic workflow model based on many applications and an OA model which satisfies the need of enterprise, putting emphasis on the standardization of management and information communication between departments. Its application in many enterprises proves that this model has the characteristics of adaptability, expansibility and adjustability; it can deploy quickly and meets users'needs in OA.The paper also analyzes elaborately the structure, security and Notes application development tools of Lotus Domino/Notes as well as the mathematic model of workflow, bringing forth an office automation system based on the Notes platform. The system has the main function modules of OA. It solved the problem of OA integration and information platform of enterprises and successfully achieves its aim and meets the users'need through its application in Chongqing Institute of Technology.
