On The Design Of An Integrated Office Administration System

An integrated office administration system is much needed to better manage and control the flow of the data and share resources. This paper looks into the design of such a system, fully utilizing computer information network technologies and safety and security technologies, aiming to achieve a paper-free office environment, improve work efficiency, standardize procedures and reinforce information based communications between employees and between different departments, so as to harmonize and better coordinate profession work and information work.The paper first reviews the literature from both China and abroad on office automation system and information security protection system. Then the author analyzes the current procedures and applications, carefully assessing the need from the perspectives of functions, performances and securities. Based on the need analysis, the author starts to design the functions including information release, document transfer, document management, information exchange, mail transfer, data accumulation and research, etc., with detailed description of such functions. In order to ensure that the system and the data are secured, trustworthy and well in control, the author designs an all round multi-layer security protection system based on the safety need analysis, with detailed description of the identification, access control and authorization, log audit, etc. The design is integrated in that it has unified access with centralized data management and is safe, reliable and has multiple functions of daily office administration, procedure management, statistics categorization and information security protection.The design also incorporates a new modal to accommodate the deepening of profession work, which reflects progresses along the way. It could not only realize centralized management of the data, statistics analysis and resource sharing, but also ensure the security of the data by tracing and controlling the flow the data. So it could help provide more support to the profession work, improve work efficiency and help the employees to better perform their duties.
