Design And Realization Of Archives Management System Based On C/S Mode

The Management Information System (MIS) is a system, which has functions of information gathering, transfer, storage, processing, maintenance and operating by human beings or computers and so on. MIS is an important improvement of computer application. In recent years, with the development of information technology and widespread use of PCs, MIS is involved in all the fields of national economy and plays a significant role. MIS not only raise the management level of every occupation, but also provide information support for decision-making, and provide guarantee for data information accuracy, unity and security. MIS can improve the levei of management, integrate the whole business to promote the communication efficiency, and save plenty of work force, material resources and financial resources, so the management will more scientific, clearer and more accurate. How to draw up, manage the system with advanced computer technology, and quickly develop a manageable system in a short time, has become a important mission currently.Archives management is a core work within organization of CAPF. The final target of archives management is to manage the archives data availably and accurately, and guaranteed the high efficiency of archives management of CAPF. Today, many aspects of the archives management still stay around manual work. Statistics, reporting and searching is a hard and lengthy work. However, the accuracy of data is hard to guarantee. There are also some differences from information of CAPF. To develop a network MIS with functions of documents management, profile management, index management and reporting, and to raise the automation level of the archives management is an urgent matter of the moment. This article discussed methods and main process of development of the CAPF archives management system. Its focus is on the design and implement of database. It clarified the research meaning of this topic and elaborated the history, application, characteristics and the future development direction of MIS. It also analyzed the development methods and environment, including C/S structure in briefly and integration of structured design and OOP.The CAPF archives management system is base on present network, using MS-SQLServer 2000 as basic database on server and Delphi7 as develop language. On client side, according to the organization level, users can choose MS-SQLServer 2000 or Access as terminal database.In phase of system analysis, this article elaborated the main purpose and the possibility of system development. It also contained the requirement analysis of main functions of the system, the topology structure and the data flow chart of each module. Firstly, according to the levels of CAPF, there is a 3-server system by star polygon; secondly, it devises the overall and each sub-systematic structure according to the general objective of the analysis of function demand and the design of the system. Then make sure the hardware and software support of the system.In phase of overall design, base on the design of sub-system functions, there is a detail design of database. The CAPF archives management system contains five parts: configuration management sub-system, daily business sub-system, index sub-system, report sub-system, and data upload sub-system. Then it has described the detail design of each module and flow chart.In phase of detail design, according to the system structure, there is a detail design of each function module and visual interfaces, such as system menus, window objects, control buttons and data window object. It emphasizes on solving the problem, which is, how to realize register of daily official documents, cases input and index management by computers to promote the archives management's efficiency.In phase of testing, base on the directions of system functions in outline design documents, there is a system test for archives management system. The test mainly includes function tests, performance tests and interface tests. This system can meet the requirement of archives management.The system has already passed test. Currently, the system is working in the unit and its branch. Because I do not really understand the actual business process, the practice time is shorter and other reasons. Maybe the system has some problem to improve. Currently, the main mission is maintenance of software. According to the problem that users find, adjusting in time can make the system more perfect, the functions getting stronger and applying more extensively, to finally popularize and application in all unit. I hope the system can raise the management level of archives management further, provide a dependable promise for the accuracy, unity and security of data information to make administrative levels of the CAPF office business promote a step.
