With the rapid development of information technology in recent years,more and more enterprises have adopted all kinds of information systems to carry out routine business management and administration.Among which,the proper management of personnel files,being an irreplaceable reference source for employee performance appraisal and development,is an important factor to the effectiveness of the entire HR management system in a modern enterprise.Corporation A has already made substantial progress in constructing the informatization system of its personnel files,but many problems are yet to be solved or improved for the system to work effectively and efficiently.This paper analyzes the present situation of the Corporation’s current informatization system of the personnel files,and recommends optimization proposals based on problems identified as well as the Corporation’s requirements.The proposals will mainly focus on the optimization of system functions of the Personnel Files Management Module of the HR Management System as the informatization of personnel files is accomplished through this Module.The proposals consist of optimizations of existing functions and continued development of new functions,such as,the adjustment of personnel files structure based on the actual HR requirement,enhancement of the basic personnel information management,addition of statistical functions and support of QR Code function,and simplification of system operation process.The success implementation of the proposals will enable 100% coverage of all routine management processes of personnel files in the online HR system functions.At the same time,various business processes and forms of personnel files management will be all standardized through the correlation or restriction of certain system functions.Finally,the newly developed Statistical Module will enable the summary or query of various personnel files data in different dimensions to satisfy any routine or particular HR management needs.
