| In general, the office automation system uses xml or other format data to store andexchange information in order to process the data automatically and improve theefficiency. However, this kind of data files can’t be read or understood easily. In thepractical application, people still need to edit and formulate the natural languagedocuments according to the format data. The users often do this work manually, whichcauses duplicated work and lowers the efficiency. So it’s necessary to make a researchon the exchange mechanism converting the format data to the natural languagedocuments, which is based on the characteristics of documents in the office system. Thisresearch can achieve the computer’s automation process, ease users’ burden andimprove the efficiency.Based on the characteristics of documents in the office automation system, thispaper deeply analyzes the relationship between the documents and the data files,explores the automation exchange mechanism, and develops an automation exchangesoftware. This software, according to the users’ needs, can transform format data intonatural language texts automatically. And it can analyze format data template anddemonstrate the format template structure with graphics, which may help users analyzeits corresponding relations with the natural language texts. It also supports user-definedexchange model to adapt to different exchange environment and to improve thereadability of the exchanged texts.The prototype software, achieved in this subject of research, could supportuser-defined transformation model, and automatically format the data into report textcomply with the standard, based on the relations of transformation specified by theusers, which could save manual time in editing the revelant documents, improve officeefficiency, and has significant application value and promotion prospects. |
