Research And Application Of Web Technology In Digital Documents Control System

Electronic documents have been widely used in the enterprise, as the computer technology being vigorously developed. Once the important information contained within the enterprise electronic document was leaked, incalculable economic losses will be made. How to prevent the leak effectively, rapidly find the leak point and the staff, who made the leak, is currently a thorny issue for enterprises. At present, there is a lot of lack of the electronic document management and controller system, for example:1.there is no specific role assignment management system, that is to say, there is no specific role division, there is only one administrator within the overall system, which has the highest system privileges. In that case, once the account is stolen or unethical management, the leak will easily be happened.2. Nowadays, most management system architecture is client/server. It is inconvenient for users to modify file permissions and make other operations.3. Transfer of documents and user actions are lack of audit; a valid document flow, document manipulation, disclosure risk warning audit, have not be provided; In a word, leaked documents in the electronic document management and controller system can’t be done for "prevention is the first track in the rear."The paper focuses on the Web technology in electronic document management system based on the above issues.First, we make the classification of user roles according to the different needs of users in the system. On the basis of the rules, we design four modules:General user module, approval module, management module, auditing module, in which General user module is utility modules. This system has the perfect role management mechanism, which can make clearly division of function, depending on the different roles.Second, as the traditional management system based only on C/S mode issues, we design the architecture of Web-based electronic document management system basing on B/S mode, making the whole system architecture to be a mixed mode of C/S and B/S’s.Finally, I realize Web function of the whole system. In the period of realizing the Web function of the system to achieve, mainly the following research has been done:Studies of interactive tree topology diagram for showing the circulation of information program documents, in which given a large amount of data; The research and implementation of an object-oriented data format conversion method, by using which the data structure is easy to be changed, support for cross-platform, easy to calculate;Solving the problem of the operation of the summary information being not intuitive, by using a retrieval method based on custom graphics operations, which presents statistical methods; For different departments organizational structure, dynamics generate the appropriate department structure and layout; Drawing designed risk points, making the system risk in the sector structure of the document in the form of dots,which is intuitive reflect realizing the document leak risk warning, which save the user from dealing with mass data.
